Job Title: Programs Coordinator 
Department: Education and Public Programs  
Hours: 36.25 hours per week 
Reports To: Manager of Education and Public Programs 

Position Summary: The Programs Coordinator is responsible for coordinating, administering, and delivering educational and community programming at the Beaverbrook Art Gallery. Working collaboratively with the Education team, artists, instructors, and community partners, the role supports the planning and implementation of public programs, workshops, camps, school tours, and outreach initiatives. The position combines program coordination, teaching, and administrative responsibilities to ensure high-quality, accessible arts education experiences. 

Program Coordination & Administration: Coordinate the planning and scheduling of educational programs in collaboration with the Education team and gallery staff. Liaise with artists, instructors, teachers, and participants to organize workshops, residencies, and program logistics. Coordinate program materials and supply needs with appropriate staff. Maintain education spaces, art materials, and storage areas. Develop and maintain in-gallery educational resources and program materials. Contribute program information for reporting, grant applications, and institutional documentation. Maintain organized program files and track participant feedback to inform future programming. Provide administrative and database support as required. 

Program Delivery & Education: Plan and facilitate gallery-led programs, including Open Studio, youth and family programs, after-school initiatives, and art workshops. Develop and teach seasonal programming, including summer camps, March Break camps, and school tour activities. Communicate with participants and families to support program registration and participation. Collaborate with artists and community partners in program development and delivery. 

Seasonal Programming Support: Assist with recruitment, onboarding, and supervision of summer students. Support coordination of outings, consent documentation, and daily program operations during peak seasons. Coordinate and support recurring seasonal programs and outreach initiatives. 

Events & Outreach: Support planning and delivery of special events, community outreach programs, and francophone initiatives. Coordinate workshops connected to rentals and public programming. Assist with event setup, teardown, and on-site coordination as required. Participate in professional development opportunities, including educational conferences when applicable. 

Collaboration & Supervision: Work collaboratively with Education staff, volunteers, and students to support program delivery. Coordinate with internal departments, including Rentals, Visitor Services, and Marketing, as needed. 

Qualifications & Skills: Experience in arts education, program coordination, or community programming. Demonstrated experience working with children, youth, and community groups. Strong organizational, communication, and interpersonal skills. Ability to manage multiple projects and adapt to seasonal programming demands. Experience in a gallery, museum, or cultural organization is an asset. Bilingual in French and English.  

Working Conditions: Combination of administrative, instructional, and event-based work. Occasional evening or weekend hours required to support programs and events.
